Adviser Track displays your applicants' progress after their applications have been sent to UCAS. It is available to all registered centres that have subscribed to the service.
Once subscribed, you can see how your applicants are progressing. You can view the decisions made by their chosen universities and colleges. If they receive offers, any conditions will be displayed, as well as your applicants' replies to these offers.
Your applicants can opt in or out of allowing their details to be viewed by your centre - this can be done as part of the declaration in Apply, or in the Personal details section in Track. If they opt in, their details can be viewed in this section.You can choose to display all applicants or to search for applicants by status, eg those who need to reply to their offers, or those eligible for Extra or Clearing. The applicants that meet your search criteria will be displayed in a list, which can be sorted by name, Personal ID or status. Click on an applicant's name to view their choices. This screen will display any decisions made by the universities and colleges, and any replies that the applicant has made.
Adviser Track highlights whether any of your applicants' personal statements have been identified as possibly copied from another source. Click on an applicant's name in the Search for applicants section of Adviser Track - if their personal statement has been recognised by our similarity detection system, there will be a 'similarity alert' link above their course details. Click on the link to view their personal statement and the sections that have been highlighted by the similarity detection system.
You can email your students from Adviser Track - if you have an email address attached to your account, the email link will be displayed at the bottom of the applicant search results. Emails can be sent to all applicants who have supplied a verified email address. We provide templates for you to use or you can create your own email. We do not keep copies of emails sent using this service. Please ensure that use of this service conforms with your centre's email policy.
If your email address uses a web-based client, eg Hotmail, Gmail, you may not be able to send emails. Please try to use an email address that uses a local email client, eg Microsoft Outlook. Please check with the technical support team at your centre for further information about web clients.
Adviser Track is a yearly subscription which runs from September to October.
To subscribe to 2012 entry cycle Adviser Track you can order online on the UCAS book store from September 2011. Alternatively you can email reportsforschools@ucas.ac.uk. A yearly subscription to this service costs £41.67 plus VAT. Once you have subscribed to Adviser Track, you will also have access to the Applicant Status Reports, which allows you to track your students' progress monthly throughout the application cycle.
To receive all 12 reports for 2012 entry cycle you will need to order Adviser Track before the end of October 2011. The report is available to view or download as a CSV file or HTML page in the Adviser Track section of Apply. The first report is available from 1 November 2011 and is updated on the 1st of each month thereafter. NOTE: Each updated report will overwrite the report published in the previous month. Speak to your centre's coordinator to see if your centre has subscribed to Adviser Track. If you have not yet subscribed, you can download and complete the order form above. A yearly subscription to this service, which runs from 1 September to 1 October the following year (eg 1 September 2010 to 1 October 2011), costs £41.67 plus VAT.
