Privacy Notice for the UCAS HUB App

Our privacy policy tells you about the personal information we collect from you, how we use it, and what your rights are. This notice is specifically related to the use of the UCAS Hub App.

If we make any major changes to the policy, we will notify you through an App notification, our social media channels, or contact you directly. If you are under the age of 13, you should not register to receive our app or give us your personal information, as our services are for people aged 13 or over.

UCAS stands for the ‘Universities and Colleges Admissions Service’ – we manage applications to higher and further education in the UK and provide information and advice to individuals on their choices.

All personal information provided by you through this App is under the control of UCAS and UCAS Media, and we’re responsible for taking care of your personal information in line with the Data Protection Act 2018, and the General Data Protection Regulation (GDPR).  Our registered office is Rosehill, New Barn Lane, Cheltenham, Gloucestershire, GL52 3LZ.

Collecting and using your personal information

When you use the UCAS Hub we collect the following personal information:

  • If you log in and create an account – to allow you to use the Hub’s research tools and add favourite course choices and content, we’ll ask for your name, location, chosen password, if you are at school, and your email address. We will also ask what type of courses you are interested in. You can also provide further confirmation of the type of information you are interested in receiving further details about.
  • If you wish to personalise the content – you can add information to assist in your exploration of your higher education choices including within the personal statement, notes, or tariff calculator tools.

If you use the UCAS Hub App

  • If you have a UCAS Hub account, you will be able to link your app to your account and manage your profile and personalised content. If you do not currently have a UCAS Hub account one will be created when you sign up to the app. Please note that during the Beta test stage of the UCAS App there is a small risk that information or preferences entered into the App may not be reflected within your main Hub account accessible through UCAS.com.
  • We may obtain some details of your device and operating system to support the provision of this service.
  • You can manage your preferences for app notifications or marketing activity within the App or at UCAS.com.

‘Special category’ personal information

  • We do not request any special category information directly through the Hub. If you enter any such information into the tools available on the site, we consider that we hold your explicit consent to process (store) that information.

How we use your information

The information you provide will be used to present personalised content including through the tools available to you. Data will also be used to support the analysis of the system and improve future developments, wherever possible this analysis will use anonymised data.

Legal Basis for processing information

Under data protection legislation we are need a legal basis for using personal information. For the UCAS Hub and App we process your data on the grounds of consent. You can withdraw your consent at any time. You can do this by contacting datagovernance@ucas.ac.uk, or you can delete data you have provided, either within the App or through UCAS.com.

How we store your information

Information is stored securely within the European Economic Area. We keep your information for a limited period related to your interactions and activity with the App or through UCAS.com.

Your personal data will not be shared with third party organisations outside of UCAS without your consent or a relevant legal obligation.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information. You can view the information we hold about you through the App or UCAS Hub through UCAS.com.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
